Auto Forwarding Supervisor Assignments

Controllers are authorized to auto-forward their supervisors' assignments to other supervisors.

Complete the following steps to temporarily transfer a supervisor's employee assignments to another supervisor.

  1. From Actions > Employee, select Auto Forward Assignment.

  2. From the Actions on the left, click Supervisor Forward.

A list of supervisors assigned to the current controller is displayed.

  3. Click the icon to the left of the supervisor whose assignments need to be forwarded.

  4. Enter an Effective Date and, if needed, an Expiration Date to indicate the date range to forward authorization to another supervisor.

If you do not enter an expiration date or need to cancel forwarded assignments early, the supervisor can expire them manually, as explained in step 10.

  5. Click Next.

  6. Using the employee search, enter the criteria to find the new supervisor you are forwarding the selected supervisor's assignments to and then click Search.

  7. Click the icon to the left of the new supervisor's name to choose that person to receive the selected supervisor's assignments.

  8. From the list of the selected supervisor's assigned employees, select the ones you want to auto-foward to the new supervisor.

    • To auto-forward all employees to the same supervisor, check the box on the top row.

    • To auto-forward some employees to the new supervisor, and others to another supervisor, check the box to the left of the names of the employees to forward to the new supervisor only. In this situation, you will repeat some of these steps to select the remaining employees, as explained in step 9.

    Tip

To help refine the list of employees, click the Filter Criteria row above the list of names. With the filter, you can find specific employees, or narrow the list by employees' home organization unit or the role level category (approving, editing, or read-only) that the selected supervisor is set at for their employees.

For example, you may want to search for supervisors in a certain facility and who are approvers so that they can approve time cards.

  9. Once employee records are selected, click Forward Selected.

    • If you selected all the employees to forward, you are done.

    • If you selected a partial list of employees and need to forward other employees to a different supervisor, repeat steps 6-9.

The wizard will not finish until all employees have been forwarded.

Once finished, the employees are now temporarily assigned to the new supervisors for the indicated date range.

  10. To cancel auto-forwarding, the original supervisor you selected in step 3 needs to:

    1. Navigate to Actions > Employee > Auto Forward Assignment.

    2. In the Actions menu on the left, click Disable Auto Forwarding.

This button is visible only if there are employee records set to be auto-forwarded.
