Special Codes

The Special Codes button opens a screen that lists any special codes that are excluded from the union you are viewing. Employees in this union do not have access to the special codes listed on this screen.

If an employee's home labor distribution includes the union you are viewing, the special code exclusions on the Special Codes screen trump all other special code data access associated with an employee's assigned roles. Anyone creating or editing transactions for employees with exclusions will also not be able to access the excluded special codes while working with those employee records.

Example 

If an employee's roles grant them access to all special codes, but a Charge Pay special code is excluded from their union, the employee is not able to select the special code at input devices or screens that provide a list of special codes. If a device allows the employee to enter the excluded special code, the posting process generates an error on the employee's time card screen.

Tip  

You can also control a union's access to special codes from the Special Code configuration screen. The Unions screen you are viewing and the Special Code configuration screen accomplish the same goal, but with a different focus. From the Unions screen, you are excluding special codes from a specified union. From the Special Code screen, you are excluding unions from a specified special code. To work with union exclusions, you need to have the Special Code Union Codes authorization policy assigned to one of your authorization roles or have the TA Administrator role (or its equivalent replicated role).

Add a Special Code Exclusion

To add a special code exclusion to a union, complete the following steps.

  1. Click Add from the Actions section in the left pane.

    The Special Code search screen appears.

  2. Enter search criteria and click Search.

  3. Select one or more special codes.

    Note  

    Even though the system allows you to assign the No Special Code (~) value in the exclusion list, this special code is exempt from exclusions.

  4. Click Assign Selected.

Delete a Special Code Exclusion

To delete a special code exclusion from a union, complete the following steps.

  1. Select one or more special code records from the Special Codes screen.

  2. Click Delete Selected.
