Schedule Partner

Schedule Partners allow you to group similar organization units or job classes that determine which employees to include on the Qualified Staff tab on the Current Staffing Overview. The Qualified Staff tab displays employees that are considered to be qualified to work a particular shift. However, the system uses conditions that you create to determine the level of qualification. One of the conditions that you can create is a schedule partner.

Example 

You need another RN to fill a shift, but all of your RNs are scheduled or unavailable. You can view the Qualified Staff tab to find an RN from another organization unit schedule partner.

You have RN1 and RN2 profiles with a need for one RN2. If no RN2 employees are available, the Qualified Staff tab can find an RN1 employee previously set up as a job class schedule partner.

Set Up Organization Unit Schedule Partners

For organization units, create the schedule partner record and select a group of organization units that are considered "like units" for scheduling. For example, the Critical Care, ICU, and Surgery units are all considered partners in the CC Schedule Partner group and five Med Surg units make up a single Med Surg Schedule Partner group.

  1. Navigate to Configuration > Scheduling > Schedule Partner.

  2. Under Actions, click Add.

  3. Enter a Code and Description to identify this record.

  4. In the Category field, select Organization Unit.

  5. Enter a Tier Level.

    Tier levels are used to further rank similar schedule partners.

    Example 

    Departments A, B, and C are Med-Surg units and are set up as schedule partners with a Tier Level of 1. Departments D and E are Critical Care units and also are schedule partners with a Tier Level of 1. In high-need/low-staff situations, employees from Critical Care can float to Med-Surg (and vice versa). To enable this ability on the Current Staffing Overview screen, a third schedule partner group is created. This new group of schedule partners includes all departments A - E and has a Tier Level of 2. In this example, the Qualified Staff on the Current Staffing Overview will look at Tier Level 1 first, then Tier Level 2, for qualified staff.

  6. Click Save.

  7. Under Schedule Partner Sections, click Org Unit Assignment.

    This step allows you to add organization units to this schedule partner record.

    You can also add or remove an organization unit from a schedule partner record from here: Configuration > Organization Unit > Schedule Partners

  8. Under Actions, click Add.

  9. Search for and select the units you need to combine in this schedule partner record.

  10. Under Schedule Partner Organization Unit Add Actions, click Assign Selected.

Tip  

After creating an organization unit Schedule Partner record, when you view the list of organization units (from the Org Unit Assignment button), hover on a code to see organization unit details in a tooltip.

Set Up Job Class Schedule Partners

For job classes, create the schedule partner record and select a group of job classes that are considered "like jobs" for scheduling. For example, the RN1, RN2, and RN3 job classes are all considered partners in the RN Schedule Partner group.

  1. Navigate to Configuration > Scheduling > Schedule Partner.

  2. Under Actions, click Add.

  3. Enter a Code and Description to identify this record.

  4. In the Category field, select Job Class.

  5. Click Save.

  6. Under Schedule Partner Sections, click Job Class Assignment.

    This step allows you to add job classes to this schedule partner record.

    You can also add or remove a job class from a schedule partner record from here: Configuration > Job Class > Schedule Partners

  7. Under Actions, click Add.

  8. Search for and select the job classes you need to combine in this schedule partner record.

  9. Under Schedule Partner Job Class Add Actions, click Assign Selected.

After creating a job class Schedule Partner record, when you view the list of job classes (from the Job Class Assignment button), hover on a code to see job class details in a tooltip.
